These are the everyday terms for booking DS Media Moments (the wedding arm of DS Media, Newcastle upon Tyne). The details specific to your day, dates, coverage, deliverables and price, are set out in the written booking contract you sign, and that contract is the binding document. Booking & deposit
A date is only held once we have a signed contract and a 10% deposit. Until then, the date stays available to other couples, we can’t hold it on a promise. The deposit secures your date and is non-refundable, as it reserves a day we then turn other couples away for.
Paying the balance
The remaining balance is due two weeks before the wedding. Prices are fixed at the point of booking, the price we agree is the price you pay, with no hidden extras. Any add-ons you request later (extra coverage, drone, additional edits) are quoted and agreed in writing first.
Moving or cancelling
If you need to postpone, we’ll do everything we can to move your booking to a new available date, your deposit carries over. If we’re already booked on your new date, the deposit can’t be refunded but we’ll gladly recommend someone good. If you cancel, the deposit is retained; if you cancel within eight weeks of the wedding, the balance may also be due, as the date can rarely be re-filled that late.
On the day
We film documentary-style, mostly unnoticed, with a little friendly direction for the couple session. To do our job well we need reasonable access to you, the venue and the key moments, and a meal if we’re with you through the evening. We plan the day with you in advance and share a written schedule, but we can only film what we’re present for and told about, so please flag the people and moments that matter most beforehand.
Your film & photos
You’ll get a share-ready sneak peek within 48 hours and your full film (and gallery, if booked) within 8–12 weeks, delivered in a private online gallery. Please download and back up your files, galleries are kept online for a limited time. Music is licensed for the delivered film; chart tracks can’t legally be used in wedding films (that’s true for every videographer). Any drone footage is flown legally and only where it’s safe and permitted.
Copyright & using your film
DS Media Moments retains the copyright in the films and photographs we create. You’re given full personal use, watch, download and share your film and photos with family and friends as much as you like. We may use excerpts to promote our work (website, social media, competitions), and this is always covered transparently in your contract, nothing appears publicly without your knowledge.
If something goes wrong
We take backups and use professional, insured equipment. In the very unlikely event of a technical failure or circumstances entirely beyond our control (illness, accident, extreme weather, venue restrictions), our liability is limited to the fees you’ve paid, and we’ll always do everything reasonable to put things right or arrange a trusted replacement.
